Using this method I set up an H&S Committee comprising of production operatives and managers and made minutes of the meeting. I also arranged to attend the monthly Board of Directors meeting and developed written report’s detailing accident stats, training, Employee liability claims and minutes from the H&S Committee meeting. Using the minutes taken from the Board of Directors meeting I presented this at the next H&S committee meeting so that information was not only being passed up to the Directors but also back down to all employees. This ensured a constant flow of information throughout the business and gave opportunities for employees to engage in feedback and contribute to any new policies or procedures.
Other communication methods I use are H&S bulletins which contain written and pictorial information and verbal communication in the form of toolbox talks and meetings and responses to emails.

Relevant information submitted to the HSE and local authorities would be RIDDOR (F2508), notification of CDM work via the F10 construction form and any licensed asbestos removal projects. I have also reported to the HSE on occasions where a notice of contravention and improvement notices have been served. Other relevant groups I communicate with are external contractors at the selection stage for insurance certificates, risk assessments and method statements. Inductions and permits to work before work commences by the contractor and finally a review of the work completed and any H&S files to be retained.
I also provide H&S information such as accident statistics and any good practice to the Glass and Glazing Federation which is a trade group my business is a member of. This information is used to produce statistics for HSE publications.

Effective communication and employee involvement is recognised as being critical in the management of health and safety at work and is a requirement of the Health and Safety at Work etc Act 1974 section 2 (2c) the provision of such information, instruction, training and supervision as is necessary to ensure, so far as is reasonably practicable, the health and safety at work of his employees.
The most commonly used methods for internal communication include presentations to senior management, staff and HSE Committees, team meetings, emails, videos, notice boards, newsletters, poster displays and signage. Methods of external communication include annual reports, publications, telephone enquiries, and submissions to local enforcement agencies.
