P5 - produce a requirements specification for a business process

Proposed System

Parry’s electrical store is currently using an old system which is not beneficial to his business. The reason for this is because the current system has faults which fail to store the customer data. So he wants to produce a system which will enable his business to store customer record into the system. Therefore, I will be suggesting features which will enable Parry’s electrical store to record data into the system easily.

Task 1 – Must be able to describe proposed system

Customer calls in
Record customer details into the database system
Customer has options to select enquiry from the automated system.
The assistant will validate the customer
The assistant will search for solutions to solve the query
The assistant will deal with the enquiry by using the previous existing data from the database system

Find and Retain Customer Detail - The system should be able to find and retain customer details also built in with an automated system, so when the customer calls in the automated system will answer the call and record the customer details.

System Update - The system should be fast and effective and should be able to access the system easily. The reason for this is because when the customers call in the system needs to record their details quickly so the system can answer the next customer call. This will need to be fast and effective as there will be a lot of customers waiting in the queue.

Simple and Easy to use - The system should be easy to use so the customer queries such as solved queries can be recorded into the system and stored. These existing data can be used by the assistant to solve another query problem by the next customer.

Task 3 – Describe the input, process and outputs of the proposed system.

Input
In the input stage the customer details will be recorded by the automated system once they call in, the reason for this is because it will enable the assistant to see how many customers have called. The customer will select an enquiry from the automated system, and then the system will record the query details into the database system.

Process
In the process stage the customer details will then be transferred into the database system and securely stored, the reason for this is because the assistant will then look at the data and act upon it. When the system will record the customer’s details the assistant will validate the customer whether they are customer or not. After that if the person is a customer then the customer will select an enquiry from the automated system. The assistant will search for solution to solve the enquiry for the customer.

Output
In the output stage the assistant will look at a list of valid customers from the existing records from the database system. The reason for this is because this will enable the assistant to take notes of a list of possible solutions which can help the assistant to solve the latest query of the valid customer.
