Selecting the Right Communication Channel
Scenario 1: This particular scenario requires the manager to communicate to his employees about a brand new strategic initiative that his team is assigned. The speed of the communication for this scenario is to be fast since the task at hand shall be accomplished in one week. This is a strategic global effort that will require this team to communicate interactively in order to develop a strategic plan in the presence of a strong leader. Hence, an actual meeting is required to facilitate this interactive communication where tasks will be assigned, job functions will be discussed, brainstorming will be carried, and immediate feedback will be received to finalize the plans. 346). The presentation to explain the strategic plan should be clear and concise and should include action items. This way, the feedback from the Vice President will be received immediately along with the support to move forward.

Scenario 2: The best way to contact IT would be via a phone call so that interactive and speedy exchange of information could be accomplished with rapid feedback. Furthermore, most companies have help desks set up that are accessible via phone calls or intra web pages. Intra web pages may take longer than the phone calls and the phone calls will allow the issues to be addressed faster especially if there are unknown circumstances. Hence, a phone call would be the preferred choice of communication channel.
Employees of the company could be informed of the expired login name and password via company-wide e-mail. This is one of the fastest ways to send insensitive information to a large group of people. In this e-mail it could be asked of the managers to verify from their direct reports that the information was received by all. Following, the login name and the password would be sent to all the employees via intra office mail in sealed envelopes. This way sensitive information will be delivered more securely.

Scenario 3: This is a very small company where everybody knows each other well, including the owner. Hence, the best way of informing the employees of financial difficulty the company is going through would be via all-employee meeting. During this meeting the owner would state the financial facts with figures and connect it to the reduction of workforce. The affected employees would be individually called into the owner’s office, hopefully in the presence of a HR representative, to inform them that they are being let go along with all the HR related information. This channel of communication is the best choice since this is almost like a family operation. The employees are close to each other and the situation explained in person will sustain the positive relationships and the worker productivity especially since everything is tied into the financial facts.
