A job description is a broad, general, and written statement of a specific job, based on the findings of a job analysis. It generally includes duties, purpose, responsibilities, scope, and working conditions of a job along with the job's title, and the name or designation of the person to whom the employee reports. Job description usually forms the basis of job specification. For example the Coffee Café needs to hire some barista’s to serve the coffee to the customers part-time. The job description would include the responsibilities they would have to complete while in this position such as preparing and serving food and drinks as ordered by customers, clean or sanitize work areas, utensils, or equipment, clean surface or seating areas, check temperatures of freezers, refrigerators, or heating equipment to ensure proper functioning, describe menu items to customers or suggest products that might appeal to them and order, receive, or stock supplies or retail products.
Person specification is a profile of the ideal candidate for the job. It lists the criteria necessary to carry out the job. Person specification makes it easier to eliminate unsuitable candidates for the job at an early stage in the recruiting process. For example the Coffee Café will include the experience someone will need such as working behind a counter or in a working environment, qualification, education and training such as receiving training to work in a coffee shop before and personal characteristics.
