Presenting information to a group of stakeholders, including managers, salespeople, and customers can be overwhelming. The importance of being prepared is crucial to the continued success of the business. The speaker will need to have good communication skills to achieve the goal of informing the audience. The audience should be able to understand facts and figures provided by the speaker. The speaker needs to prepare for the meeting by getting to know the members of the audience. This will help you to “sell” the benefits of the topic to the audience. Try to make everyone in the audience feel included. Never assume that the audience shares the same beliefs. It is important for the speaker to identify the main goal of the meeting in order to be prepared. The speaker should also identify the audience prior to the meeting to understand the audience that will be attending. Also it is imperative that the speaker be mindful of things that are said so as not to offend anyone. This could be detrimental tot a business and cause the business to lose stakeholders.
Communication Channels
A communication channel is how the speaker gets the message across to the audience. There are many communication channels. It is important to find the proper channel for the situation. Materials that will help the audience feel included and understand the speaker should be handed out prior to the meeting. Some important tools to use are spreadsheets, visuals, graphs, and PowerPoint slideshow. The speaker should connect with the audience both verbally and visually. When speaking to the audience, be aware of using certain terms and gestures and to be aware of the way terms are used. Be careful of the pronouns used when discussing information. The speaker should make eye contact with the audience while speaking to make the audience feel important.
The presentation should provide everyone with an understanding of the information presented. The meeting should stay on topic throughout the presentation. The speaker should listen actively to the audience and should not prejudge. The speaker needs to be knowledgeable of the topic in order to answer questions correctly. The presentation channel is vital to stakeholders because it allows them to see the production level and profit of the business.
Diversity of an Audience
The speaker should understand the history and culture of the audience. Taking college courses or reading books about diverse cultures can help to relate to the audience. By keeping presentations simple and to the point provides better understanding for audience members who lack a higher education. Some cultures do not appreciate technology and would prefer blackboard and easels at the meeting.
Inclusive language ensures that all people are treated with equal respect and avoids terms that could be offensive. Use inclusive words rather than excluding words. This requires removing gender stereotypes and sexism from the language. Females should be referred to as women and males referred to as men. Use nonracist language to avoid stereotyping individuals, and only use race if it is relevant to the story. Use caution when speaking of someone with a disease or disability.
